Role Overview:
Reporting to the Managing Director, you will be responsible for primarily providing support in the management of their diary and travel as well as additional support to the MD's team, as directed, to manage the day to day demands of the Senior Leadership Team.
This is a new role in the structure which will require someone who is used to working in a fast-paced environment and will require excellent organisational, relationship building and communication skills alongside self-awareness and the ability to always be one step ahead. Your focus will be to ensure the Managing Director and Senior Leadership Team are best supported to allow them to deliver on business priorities.
Key Responsibilities:
Organisational
•Manage professional diary and scheduling for the MD, including agenda's, mail, email, phone calls, client management, and other company logistics.
•Coordinate complex scheduling and calendar management, as well as content and flow of information to senior leaders.
•Manage the MD and SLT travel logistics and activities, including accommodation and travel.
•Provide administrative and office support, such as meeting pre-read materials, agendas, and action tracking for the senior leadership team.
•Organise, execute, and assist with team activities (staff meeting agendas, management away-days, off-sites, and team social events)
Personal
•Maintain professionalism and strict confidentiality with all business materials.
•Plan engagement and team building traditions and activities to encourage a strong organisational and team culture.
•Significant experience of providing administrative and/or secretarial support at •MD/CEO level.
•Experience of providing diary management support for Senior Leader level team.
•Excellent communication and time management skills, with an ability to forward plan the next step ahead.
•Experience of liaising with internal and external stakeholders to successfully coordinate outcomes.
•Experience of using Microsoft Office products (e.g. Excel, PowerPoint, Outlook, Word.).
Desirable
•Experience in Rail or another similar heavy-duty industry would be advantageous.
